Labor Rate Schedules
Labor rate schedules allow you to define the default billing rates for different types of labor activities. These labor rate schedules can then be associated with a property on the Edit Property page or be propagated to an entire region.
This feature can be helpful when labor contracts are negotiated on a regular basis, allowing you to update a single rate schedule versus modifying every user's individual labor rates.
To open the Labor Rate Schedules page:

Open the Administration Menu page.
- Under the WORK ORDER ADMIN heading, click Labor Rate Schedules.
Add a Labor Rate Schedule
Adding a labor rate schedule allows you to define a schedule of billing rates for labor activities. To add a labor rate schedule:

In the Labor Schedule field, enter the name of the labor schedule.

Click ADD.
A dialog box opens asking you to confirm your choice.

Click OK.
Edit a Labor Rate Schedule
Once you have created a labor rate schedule, you can modify it. To edit a labor rate schedule:

In the Rate Schedule field, select the labor rate schedule to edit.

To change the display order, enter a value in the Tab Order field.
The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

To change the name of the labor rate schedule, enter a value in the Rename field.
All historical information will reflect the new value.

To change the status, select a value frfrom the Status field.
Labor rate schedules with a status of Inactive are not displayed to users. However, inactivating a labor rate schedule does not affect the existing properties that utilize it.

Click UPDATE.
Add a Billing Rate
Once you have created a labor rate schedule, you can define the billing rates for labor activities within that schedule. To add a billing rate:

In the Rate Schedule field, select the labor rate schedule you want to associate the billing rate with.
Any existing billing rates appear at the bottom of the page.

In the Filter for WO Activity field, select the type a labor activity to filter the displayed list of billing rates to display only rates associated with the selected labor activity.

Click the Add Billing Rate link.
The Add Billing Rate window opens allowing you to define parameters for the new billing rate.

Specify any of the following values:
- WO Activity– Select the type of labor activity you want to create a billing rate for.
- Employee – Select a value to indicate that the billing rate applies only to the specified employee. By default, the billing rates apply to all employees. Employee-specific billing rates override the default billing rate for a labor activity.
- Regular Rate– Enter a numeric value to indicate the regular billing rate for this activity.
- OT Rate– Enter a numeric value to indicate the overtime billing rate for this activity.
- 2OT Rate– Enter a numeric value to indicate the double over time billing rate for this activity.

Click ADD.
Edit a Billing Rate
You can edit a billing rate if you need to update the numeric values. To edit a billing rate:

In the Rate Schedule field, select the labor rate schedule containing the billing rate you want to modify.
Any existing billing rates appear at the bottom of the page.
- In the Filter for WO Activity field, select the type a labor activity to filter the displayed list of billing rates to display only rates associated with the selected labor activity.

Modify any of the following values:
- Regular Rate – the regular billing rate for this activity
- OT Rate – the overtime billing rate for this activity
- 2OT Rate – the double over time billing rate for this activity

Click UPDATE.
Delete a Billing Rate
You can delete a billing rate if it is no longer needed. To delete a billing rate:

In the Rate Schedule field, select the labor rate schedule you want to delete a billing rate from.
Any existing billing rates appear at the bottom of the page.
- In the Filter for WO Activity field, select the type a labor activity to filter the displayed list of billing rates to display only rates associated with the selected labor activity.

Click the DEL button to the right of the billing rate you want to delete.
A dialog box opens asking you to confirm your choice.

Click OK.
Delete a Rate Schedule
Deleting a rate schedule deletes both the rate schedule and the billing rates associated with it. You cannot delete a rate schedule if it has been used. In most cases, it is preferable to either edit the rate schedule to redefine it or to inactivate it.
To delete a rate schedule:

In the Rate Schedule field, select the rate schedule you want to delete.

Click DELETE.
A dialog box opens asking you to confirm your choice.

Click OK.
Other Options
The Other Options pane allows you to propagate rate schedules to all properties in a region and to quick configure billing rates.
The Other Options pane is only available to super administrators. Use these functions with caution since they will overwrite any existing rate schedule configurations already established.
Propagate a Rate Schedule to a Region
The Other Options pane allows super administrators to propagate a rate schedule and its associated billing rates to all properties in a region. Performing this function is equivalent to opening the Edit Property page and selecting this rate schedule for each property in the region.
To propagate rate schedules to a region:

In the Rate Schedule field, select the rate schedule that you want to propagate to the region.

Open the Other Options pane.

In the Add this format to the following Region field, select the region you want to propagate the rates schedule to.

Click ASSIGN.
Quick Configure Billing Rates
The Other Options pane allows super administrators to quick configure a rate schedule associating the same billing rate for all labor activities at once. Once you have quick configured billing rates, you can edit any particular rate to change it.
To quick configure a rate schedule:

In the Rate Schedule field, select the rate schedule that you want to configure.

Open the Other Options pane.

Specify values for the following rates:
- Regular Rate – the regular billing rate for this activity
- OT Rate – the overtime billing rate for this activity
- 2OT Rate – the double over time billing rate for this activity

Click UPDATE.
The billing rates are defined for every labor activity. You can modify or delete billing rates.
